Which emails does Resovu send to customers automatically?

Resovu emails customers a booking confirmation, a reminder 24 hours before and a notice when a booking is cancelled, moved or refunded. Review requests, waitlist, gift card and accommodation emails follow their own settings. Most switches are in Settings β†’ Notifications.

How to do it

  1. Booking confirmation – right after booking, with a calendar file when Calendar (ICS attachment) is on. A booking awaiting payment first gets payment instructions, an accommodation request a receipt of the request. Off: Booking confirmation in Settings β†’ Notifications.

  2. Booking not completed – when an unpaid hold expires, a guardian does not confirm or you decline a request, with a link to book again. Follows the Booking confirmation switch.

  3. Reminder – 24 hours before every confirmed booking, with a link to manage it. Off: Event reminder in Settings β†’ Notifications.

  4. Cancelled, moved or refunded – when you or the customer cancel or move a booking, when you change an event's time and when a card payment is refunded. Always sent.

  5. Review request – once after a finished booking, when Automatic review requests is on in Settings β†’ Reviews and the customer agreed to it when booking.

  6. Waitlist – a freed place in an event or a matching free time (Professional plan and up). Off: Offer freed-up times automatically by email in Settings β†’ Booking.

  7. Gift cards – the voucher after an online purchase or when you send it, and reminders 30, 7 and 1 day before expiry (Professional plan and up). Reminders off: Gift cards β†’ Expiry reminders β†’ Send reminders.

  8. Accommodation only – arrival instructions, the balance payment link or bank transfer request, and notices before and after a saved card is charged. They follow each unit's settings under Accommodation.

Tips and common mistakes

  • Always sent and not switchable: the confirmation of a withdrawal from contract, the consent request to the guardian for services offered to minors, and the sign-in code for the customer portal.
  • Invoices are not emailed. Customers download them in the customer portal.
  • Emails come from a Resovu address with your business name as the sender; replies go to the email in Settings β†’ General. Most emails use the language the customer booked in.
  • A booking you add yourself sends the confirmation only when Email the customer a confirmation is ticked.

Why it matters

Customers learn about every change without a phone call, and you know which messages you can switch off or reword.

Frequently asked questions

Which of these emails can I reword?

The booking confirmation in Settings β†’ Email template and the review request in Settings β†’ Reviews β†’ Email template. Reminders, cancellations and the other emails use fixed texts.

What about my own emails about new bookings?

Notifications for you are separate from customer emails. The article on new booking and cancellation notifications covers them (Settings β†’ Notifications β†’ Admin notification).

Does Resovu also send SMS?

Only when you connect your own SMS provider in Settings β†’ SMS reminders (Starter plan and up). Customers with a phone number then get the SMS reminder and an SMS when you cancel or move their booking.

A customer says an email never came. What now?

Check spam and the email address first. The article on confirmation emails that did not arrive goes through all causes.
