How long are customer data kept, and are they deleted automatically?

In Settings → Data protection / GDPR set the Personal data retention period in days (30–3,650, default 365). A weekly process then anonymises inactive customers and strips personal data from old bookings; amounts and dates stay for your reports.

How to do it

  1. Open Settings → Data protection / GDPR.

  2. Under Data retention enter the Personal data retention period (days) – from 30 to 3,650.

  3. Optional: enter the Privacy policy version (a date). It is saved with each consent.

  4. Click Save retention settings.

  5. Check it: reload the page and make sure your value stays.

Tips and common mistakes

  • Example with 365 days: a customer whose last booking or visit is more than a year old, with no active gift card and no portal activity in that year, is anonymised in the next weekly run.
  • Bookings older than the period are kept but lose the customer's personal details (name, contact, notes, form answers). Amounts, dates and services stay, so revenue reports and invoices are not affected.
  • Until you save, 365 days apply by default – but that is not your own documented decision.
  • For one customer's request use Erase data (GDPR) in Customers – it works immediately.

Why it matters

Keeping personal data only as long as you need it lowers the risk if anything leaks, and the saved setting documents your decision.
